Collections Management Coordinator

The Collections Management Coordinator assists the Director of Collections in managing the Walker collections.  This role will provide support to numerous collection management tasks and administrative duties, including data-entry and record keeping related to collection works, and will assist registrars with exhibition support, as assigned. 

Responsibilities will include:

Collections Management

  • Create object files for each work acquired; collect relevant documentation, correspond with collection artists and/or representatives to capture object information from primary source.
  • Assist with the creation of digital records for works entering the collection.
  • Provide coordination and support in processing details for possible acquisitions.
  • Update collection data to include exhibition histories, artist biographic information, copyright statements, and valuation updates.
  • Participate in annual collection inventories.
  • Respond to collection inquires and complete collection related projects as assigned.
  • Other duties, as assigned.

Administrative and Departmental Support

  • Maintain collection object files by routinely filing relevant documents and related material.
  • Generate and circulate weekly Collections and Exhibitions Management schedule and update.
  • Schedule interdepartmental meetings and attend interdepartmental meetings, as assigned.
  • Assist with collation of collection facts for the Institutional Vital Signs report.
  • Act as liaison for art pick up’s and deliveries, as assigned.
  • Assist with archiving of departmental records.
  • Coordinate travel for exhibition couriers, as needed.
  • Other duties, as assigned.

Required Skills & Qualifications:

• Strong attention to detail, high level of accuracy, and strong problem solving skills.

• Computer skills including proficiency in Microsoft Office and FileMaker.

• Skilled in establishing priorities, coordinating multiple complex projects simultaneously, and meeting deadlines.

• Ability to work independently as well as closely with a small team.

• Passion for the care and management of collections.

 

JOB SPECIFICATIONS This position is considered full-time (35 hours per week), Non-exempt. As a Non-exempt position, it is eligible for overtime pay. The compensation range for this role is $22.50- $24.50 hourly.
